Requirements

  • 3+ years as an executive assistant, operations coordinator, or similar support role
  • Excellent written and verbal communication skills with a professional, concise style
  • Strong organizational skills and the ability to manage calendars, meetings, and competing priorities
  • Experience using modern productivity and project management tools (e.g., Google Workspace, Notion, Asana, ClickUp, or similar)
  • High level of discretion and proven ability to handle confidential information
  • Proactive, resourceful problem-solver who anticipates needs before they are expressed
  • Comfort working remotely with leaders and teams across multiple time zones (US-focused)

Responsibilities

  • Manage the CEO’s calendar, meetings, and travel, ensuring priorities and time blocks align with business goals
  • Monitor and triage incoming emails and messages, drafting responses and flagging high-priority items
  • Prepare meeting agendas, notes, summaries, and follow-up task lists for internal and external meetings
  • Coordinate communication between the CEO, leadership team, and key partners or vendors
  • Support hiring and onboarding processes by scheduling interviews and maintaining candidate communication
  • Assist with special projects, internal initiatives, and operational improvements across the agency
  • Track action items and deadlines, ensuring follow-through on commitments and strategic initiatives
